Saved & Scheduled Reporting

Welcome to saved & scheduled reporting! In this doc, we’ll go over the new reporting tab within the ML Platform which allows you to save configured reports and schedule them to be sent via email. Let's dive in!

Access

The new reporting tab can be found alongside the Programs and Journey Acceleration tabs within the ML Platform (MLP). For more information on how to access the platform and how to use it to measure individual campaigns, click here.

Reports List View

After navigating to the Reports tab at the top of MLP you can now see a view of all the reports previously saved. Each row in the table references a single report that has been saved. The colored dot at the beginning of each row indicates if the saved report has been scheduled.

Green: Indicates the report is currently live and actively sending emails.

Red: Indicates the report is currently paused and is not actively sending emails.

Grey: Indicates this is a saved report with no schedule.

The report list view shows the name, client name, report type, who it's shared with, who created it, what the schedule is currently set to, the create date, and the last time the report has been sent. 

There are a few actions you can take on this view. Using the actions dropdown you can copy, delete, pause, and resume schedules.

 

Using the search bar allows you to search across the report name, client name, shared with, and created by fields. Clicking on any report will bring you to the report’s edit view. You can also create a new report by using the Create Report button in the upper right.   

 

Create/Edit Report View 

Once in the create/edit report view, there are a few items that need to be filled out before a report can be run. All the necessary items are listed at the top.

 

  • Report Name: Unique name for the report you’re running.

  • Select Programs: This lists all your programs across MLP. You can search by program name or id.

  • Report Type: This lists all the available report types that are available. For more information on the types of reports MLP offers, click here.

  • Group by: For supported reports, this allows you to view your report grouped by day.

  • Date: Here you can define the date range you want to view the report by. Note: The date filter doesn’t apply to the scheduled reports. Scheduled reports run over the full delivery length of the programs selected.

  • For Agency Users:

    • Client: Agency users who manage programs for more than one client will have a client dropdown which will inform what programs are available.

Once all the fields are populated clicking Run Report will allow you to see a full preview of the data. This may take a few seconds depending on the size of the requested dataset.

The report table can be horizontally scrolled through so that all the data requested is visible. You can also search across any text-based fields within the report using the search bar.

The export button in the upper right exports all the data in your report to a CSV file. Right below is the save button which saves your report so it can be referenced in the future.

 

Scheduling a Report 

To schedule a report, click on the Schedule button to the left of the export button in the upper right of the create/edit report view. In the Schedule pop up there are a few ways to customize the automated reports. The first section defines the cadence you’d like to receive the report on.

 

 

  • No Schedule: Turns off the scheduled reports.

  • Schedule: Allows you to send the report daily, weekly on a specific day, or monthly on a specific day. Scheduled reports will be sent between 10 am and 1 pm est on the day they’re scheduled to run.

  • Test Report: Choosing this options allows you to send a one-time report to the emails in the next section after clicking Save.

Once you define a cadence you can input the recipients for this report. Here you can input a comma-separated list of email addresses you’d like to send this report to. This is particularly helpful when automating your marketing reports as the emails can be sent to report aggregation addresses like DOMO, Datorama, or other BI metric visualization tools.

One thing to note is that all scheduled reports are run for the entire history of the selected programs - ie. The date filter doesn’t apply. For selected programs that have stopped delivering we will continue to send emails related to their delivery approximately one month after the last recorded delivery date. Once all the emails are input clicking the save button will save your schedule settings to your report.
